Zella Money is a leading mortgage broking firm, based in Melbourne but servicing clients Australia-wide. We pride ourselves on delivering a seamless, client-first experience from loan approval through to settlement. As we continue to grow and improve our client experience, we're looking for an experienced Settlements Coordinator to join our close-knit team.
About the Role
This is a key operational role responsible for administering and coordinating the end-to-end settlement process for our clients. You will be the central point of contact between clients, mortgage brokers, lenders, solicitors, builders, and conveyancers, ensuring every settlement is executed accurately, compliantly, and on time.
Key Responsibilities
- Coordinate and administer residential and commercial property settlements from loan approval through to completion
- Liaise with mortgage brokers, lenders, conveyancers, project managers, professionals, solicitors, and clients to ensure all settlement conditions are met within agreed timeframes by all parties
- Coordinate any relevant paperwork or documentation associated with the contract and settlement process
- Monitor settlement progress, proactively identifying and resolving delays, discrepancies or documentation issues
- Negotiating, reviewing, and developing any variations to contracts or services as they are provided to our clients
- Coordinate with financial institutions to confirm funding approvals, drawdown conditions and settlement booking times
- Review and verify settlement documentation, loan contracts and financial instruments for accuracy prior to settlement
- Communicate settlement status updates to clients and internal stakeholders throughout the process
- Maintain accurate records of all settlement activity, correspondence and contractual documentation
- Ensure compliance with relevant legislative and regulatory requirements governing property and financial settlements
- Contribute to the continuous improvement of settlement administration procedures and workflows, and bring attention to senior management any discrepancies or opportunities for improvement
What We're Looking For
In line with the current market, candidates should meet one of the following:
- An Associate Degree, Advanced Diploma or Diploma in a relevant field (e.g. Finance, Business Administration, Property), or
- A minimum of three years of relevant experience in a settlements, finance administration or financial services coordination role in lieu of formal qualifications
You will also bring
- Demonstrated experience coordinating property or loan settlements in a mortgage broking, banking or conveyancing environment
- Strong understanding of the settlement process, including lender requirements and conveyancing procedures
- Excellent communication and stakeholder management skills
- High attention to detail and ability to manage multiple settlements simultaneously
- Familiarity with reporting platforms and generating documents for management
- Proficiency with relevant CRM or settlement platforms (e.g. PEXA, Mercury) is highly regarded but not essential
