The Opportunity & How You Will Make An Impact.
Working closely with the Office Services Manager and the Senior Team Administrators, this role delivers high-quality, client‑centric office and administrative support across our Perth office. Responsible for ensuring the smooth day‑to‑day operation of the office, the position supports clients, employees and suppliers through strong attention to detail, organisation and time management. The role contributes to an exceptional workplace and guest experience, including the coordination of events, while also providing proactive administrative and secretarial support across multiple business units. The ability to manage competing priorities calmly and professionally is key to success in this role.
As the Concierge and Team Administrator every day is different! You'll make an impact by:
- Partnering with the Office Services Manager to support the effective day‑to‑day operation of the Perth office, ensuring Urbis systems, procedures and compliance requirements are met
- Delivering a consistently high‑quality front‑of‑house and client experience, meeting and greeting visitors and proactively anticipating client and employee needs
- Managing office facilities, meeting rooms and breakout spaces, including bookings, room setups, AV coordination and presentation standards
- Coordinating and deliver client and employee events, catering and hospitality services, working closely with senior leaders and the Brand & Clients team
- Supporting an exceptional employee experience through office supply management, onboarding support, mail and courier coordination and general workplace upkeep
- Providing administrative and secretarial support to Directors and teams, including diary management, travel coordination, expense processing and document preparation
- Assisting with project and team administration, including tender coordination, report production, electronic filing and use of the Urbis Practice Management System
- Creating expense reports, including reconciliation and entry of expense items and receipts into the expense management system (Concur) and input of expenses into BST as required
About You
- You bring at least 2 years of team administration or office services experience working in a corporate office environment
- Demonstrated event planning and management experience delivering exceptional events and activities
- Competent in the use of Microsoft office suite (particularly Teams, Outlook, Word and Excel)
- Comprehensive knowledge, awareness and implementation of Occupational Health & Safety requirements
- RSA / Food Safety Training highly regarded'
