Your new role

You will provide high-level executive and project support within a senior leadership office, ensuring seamless administrative operations and contributing to strategic outcomes.

Your responsibilities will include

  • Acting as the first point of contact for senior executives, managing incoming communications and maintaining strong stakeholder relationships.
  • Managing complex and dynamic calendars, including scheduling meetings, coordinating appointments and anticipating competing priorities.
  • Coordinating end-to-end travel arrangements, including itineraries, approvals, and logistics for domestic and international travel.
  • Preparing high-quality documentation including agendas, minutes, presentations, reports and briefing papers.
  • Supporting meetings by organising logistics, preparing materials, and ensuring timely follow-up actions.
  • Maintaining accurate records and ensuring compliance with reporting requirements such as expenses, travel documentation and declarations.
  • Providing confidential administrative support across the executive team as required.
  • Collaborating with other Executive Assistants to ensure a cohesive and responsive support function.
  • Contributing to the continuous improvement of systems, policies and administrative processes.
  • Supporting office operations including event coordination, hospitality and general administrative tasks.

What you'll need to succeed

  • Demonstrated experience supporting senior executives in a fast-paced, complex environment.
  • Exceptional organisational skills, with the ability to manage competing priorities and tight deadlines.
  • Strong written and verbal communication skills, with experience preparing professional documentation.
  • High level of discretion, judgement and ability to handle confidential information.
  • Proven ability to build and maintain effective stakeholder relationships internally and externally.
  • Experience managing complex calendars and coordinating logistics with a proactive, solutions-focused approach.
  • Advanced proficiency in Microsoft Office and the ability to quickly adapt to new systems and technologies.
  • A collaborative mindset with the flexibility to support broader team priorities when required.
