About the role

We’re looking for a proactive, highly organised Workplace & Team Coordinator to own and evolve an exceptional office experience at GreenSquare while also providing valuable support to the team.

This is a hands-on role for someone who takes pride in creating a welcoming, high-functioning workplace where people genuinely enjoy coming to work. You’ll play a key role in keeping the office running smoothly, supporting the wider team, coordinating events and helping maintain the positive, high-performing culture we’re building as we scale.

This role is ideal for someone with a hospitality mindset, strong attention to detail and a natural instinct for anticipating what needs to happen before being asked. You’ll have the opportunity to take ownership of the office experience while working alongside a collaborative, forward-thinking team using modern tools and AI-enabled ways of working.

Key Responsibilities

  • Own the day-to-day operation and presentation of the Sydney office, ensuring a professional, organised and welcoming environment at all times
  • Coordinate office operations including facilities management, office supplies, kitchen stock, meeting rooms, catering and vendor relationships
  • Manage front-of-house activities including greeting visitors, coordinating guest access and supporting a positive office experience
  • Support onboarding and offboarding activities including workspace setup, equipment coordination and employee readiness
  • Coordinate internal events including town halls, team celebrations, offsites and employee engagement initiatives
  • Coordinate domestic and international travel bookings and provide ad hoc administrative support across the business
  • Support workplace health and safety requirements including First Aid and Fire Warden responsibilities
  • Maintain office records, workplace systems and administrative processes
  • Identify and implement improvements to workplace operations, employee experience and office efficiency
  • Leverage modern workplace and AI tools to improve coordination, communication and productivity

Essential criteria

  • Previous experience in workplace coordination, office management, hospitality, operations support, events or a similar people-facing role
  • Strong organisational skills with the ability to manage multiple priorities
  • High attention to detail and ability to anticipate operational needs before they arise
  • Warm, professional and approachable communication style with a genuine service mindset
  • Comfortable working in a fast-paced, growing business environment
  • Strong discretion and ability to handle confidential information appropriately
  • Tech comfortable with Microsoft Office, Teams, calendars and modern workplace tools
  • Full working rights in Australia
