Primary objective
Provide high-level executive administrative support and advice to the General Manager through the effective management of
enquiries, correspondence and sensitive information. Develop and maintain efficient administrative systems and processes, and
coordinate, guide and support divisional staff to ensure consistent application of required workflows and the efficient operation of
the Office of the General Manager.
Key duties and responsibilities
1. Provide high-level executive administrative services and act as a first point of contact for the General Manager, including diary
management and attending to enquiries and escalating as required.
2. Provide timely, informed and accurate advice to address enquiries and requests for information.
3. Coordinate and liaise with staff to ensure timely responses are provided, and initiate follow-up action to ensure deadlines are
met.
4. Develop, coordinate and maintain effective systems and processes to ensure accurate recording, tracking and efficient retrieval
of documents for the General Manager.
5. Train, assist and support administrative officers and senior staff in streamlining executive correspondence approvals and
processes.
6. Manage and coordinate correspondence of a highly sensitive and confidential nature.
7. Provide project management and support for identified projects and events.
Selection criteria
Essential
1. Experience providing high-level administrative and operational support to senior executives in a complex environment.
2. High-level organisational, time-management and workflow-prioritisation skills, with the ability to maintain sound judgement,
adapt to changing demands, and resolve issues calmly and effectively.
3. Demonstrated understanding and practical application of delegation frameworks, including financial, procurement, contract and
human resources delegations and related compliance processes.
4. Proven interpersonal and communication skills (oral and written), with the ability to work discreetly, respectfully and
collaboratively across professions within a diverse cross-cultural environment.
5. Strong attention to detail to ensure accuracy, integrity and reliability of information, documentation and advice.
6. Demonstrated analytical capability, including the ability to identify issues, assess options, determine priorities and consider
implications to support sound decision-making.
7. Demonstrated initiative, flexibility and collaborative capability, including supporting and training staff at all levels to navigate
document, submission and approval workflows effectively.
Desirable
1. Experience in providing senior executive support services in a healthcare environment.
2. Formal qualifications in Business or related discipline.
