Primary objective

Provide comprehensive, confidential administrative support to the Business Services unit and high-level administrative

support to the Chief Operating Officer, enabling effective business operations and contributing to the achievement of

organisational objectives.

Key duties and responsibilities

1. Provide comprehensive administrative support to an executive which may include:

  • Calendar and diary management, scheduling meetings, and coordinating appointments.
  • Updating and maintaining documents, registers, spreadsheets, and administrative records.
  • Managing payments, purchase requests, and corporate credit card transactions in accordance with organisational

processes.

  • Tracking and monitoring outstanding requests, due items, actions, and deadlines to ensure timely follow-up and

completion.

  • Preparing and maintaining basic workforce reports and administrative reporting requirements.
  • Communicating with internal and external stakeholders via email, phone, and other communication channels in a

professional and timely manner.

  • Supporting general administrative operations to ensure effective and efficient workflows within the work unit.

2. Liaise in a discreet and confidential manner with a wide range of people including but not limited to; all levels of staff

within the agency, the Minister’s office, external stakeholders and the general public.

Selection criteria

Essential

1. Demonstrated experience providing administrative support to a senior leader or executive, including managing calendars,

scheduling meetings, handling correspondence, tracking due items and action requests and maintaining confidential files

and records.

2. Well-developed professional, interpersonal, and influencing skills with the ability to communicate (both written and

verbally) with a diverse group of stakeholders and build positive working relationships with other executives and staff.

3. Proficient in the use of MS Office (Word, Excel, Outlook, Teams, and PowerPoint) and record management system and

preparing basic administrative reports.

4. Proven high-level organisational and time management skills, with the ability to prioritise tasks, meet changing deadlines,

work independently with minimal supervision, while maintaining high levels of accuracy and attention to detail.

5. Professional work ethic aligned to DCDD’s principles of commitment to services, innovation, ethical practice,

accountability, impartiality, diversity and respect.

Desirable

1. Knowledge and understanding of government and departmental processes or ability to gain in a timely manner.
