About The Role

The City of Boroondara includes the well-established inner eastern suburbs of Kew, Hawthorn, Camberwell, Canterbury, Surrey Hills, Glen Iris, Mont Albert, Ashburton Balwyn and Balwyn North.

We are seeking a Business Support Officer to work in our Facilities Maintenance team. The Facilities Maintenance team is positioned within the Facilities, Waste and Infrastructure department. The team is responsible for managing service contracts required to deliver routine and reactive maintenance across all Council owned building assets, and ensure that all assets are well maintained, updated and functioning as expected to provide a safe and inviting space for the community.

Key Responsibilities Of The Role Include

  • Responding to and managing enquiries using our Customer Relationship Management (Oracle CRM CX) system.
  • Process requests, actions, and work orders via Conquest (which is Council’s dedicated Asset Management System).
  • Provide a range of finance, purchasing and procurement tasks for the team using Oracle Finance (which is Council’s Finance system).
  • Manage Shared Cost Fencing - liaise with residents, homeowners and business owners regarding sharing the cost of new fences with Council when their property abuts onto Council property.
  • Support the Graffiti Removal program.
  • Facilitating case workflows, including raising maintenance cases all the way through to closing out cases
  • Ensuring contractors execute all works as per pre-agreed expectations and are paid on time.
  • Keeping all stakeholders updated.

About You

This is what a successful candidate looks like:

  • You have outstanding customer service skills, and these will always be applied when managing queries via phone or email with council staff, residents, business owners and contractors.
  • Your excellent stakeholder engagement capabilities will enable you to be a key liaison between council staff, residents and contractors to ensure all stakeholders are across the same information.
  • In your career to date, you use Customer Relationship, Asset Management and Finance systems daily.
  • You are used to being the team’s go to person for all Finance matters including raising Purchase Orders and receiving and processing a high volume of invoices.
  • You are highly organised and have a methodical approach to executing work.
  • You are accustomed to working in fast paced roles and you have a strategy for staying focused and staying on top of your work.
  • You are easy going as much as you are efficient and you are a team player as much as you enjoy working solo and taking full control of your area of responsibility.

Additional Information

  • You are entitled to 1 RDO per month
  • You will be joining a small team where there is no other BSO in the team.
  • We will be relying on you to be the expert in all that you are responsible for.
  • You will be working at a Works depot. This is not a high-end corporate office setting.
  • There is no expectation to wear corporate attire.
  • You will be able to enjoy professional camaraderie outside of the Facilities Maintenance team with Business Support Officers in other teams.
