The First Responder and Community Programs team are seeking an Administrative Support Officer to provide efficient and effective administrative and secretarial support.

This position is Full Time, Fixed Term until June 2027. While WFH/Hybrid options are available, it is essential that the successful applicant maintains a presence either Ambulance Victoria's Port Melbourne, Ballarat or Sunshine Business Centres in line with our hybrid working model.

About The Role

Reporting to the Manager First Responder & Community Programs, responsibilities of this position include, but not limited to:

  • Act as the first point of contact for the First Responder & Community Programs team, answering calls, handling routine enquiries, and directing messages for follow-up
  • Provide administrative support to the Manager and team, including diary management and organising meetings, events, travel, accommodation, and catering
  • Support meetings by preparing agendas, taking minutes, and distributing outcomes
  • Assist in drafting documents such as correspondence, reports, business cases, and presentations
  • Maintain effective administrative systems to ensure information is organised, accessible, and shared efficiently

About You

To be considered for this position you will possess:

  • Strong experience providing administrative and secretarial support in large organisations
  • Experience developing and maintaining administrative systems
  • Proven skills using financial systems, word processing, and spreadsheets, with solid computer and typing skills
  • Proficient in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and internet use
