Primary objective

Provide comprehensive, confidential, administrative coordination to the business area in relation to procurement and supply chain

activities to ensure quality operation and service delivery.

Context statement

Provide effective, efficient, and timely procurement of all supplies, ensuring appropriate stock levels are maintained for functioning

of the Operating Theatre Services and other internal and external areas. To ensure that strong procurement governance processes

are followed in accordance with procurement delegations and within the designated operational budget. Applicants will need to

be able to work across both operating suites – Royal Darwin hospital and Palmerston hospital.

Key duties and responsibilities

1. Provide comprehensive administrative coordination which may include:

  • Oversee activities and manage inventory control, product and company data base, pricing information, PAR levels for stock

including consignment stock and identify waste management both fiscal and environmental aspects.

  • managing general enquiries and liaising effectively with stakeholders to assist in the smooth operation of the division.
  • maintaining appropriate administrative systems, registers, processes, databases, and records management
  • ensure client-centric services and the management of effective and efficient workflows.
  • managing a range of procurement functions including liaising with suppliers, purchasing/receipting, and processing

transactions

  • providing support to the multidisciplinary teams, working groups/committees as required

2. Liaise in a discreet and confidential manner with a range of people across all levels of staff within the agency, Executive and

other internal and external stakeholders.

Selection criteria

Essential

1. Proven ability to work effectively in a team support role; with a high-level of personal motivation, attention to detail, sound

judgement, the ability to maintain confidentiality and a clear understanding of the need for tact and diplomacy.

2. Knowledge and experience in delivering well-coordinated administrative support services; with supply chain management and

procurement of supplies across the surgical specialities.

3. Experience operating in a high-pressured environment with strong organisational and time management skills; with

demonstrated ability to prioritise tasks.

4. Demonstrated ability to work autonomously, with minimal supervision.

5. Sound knowledge in computer systems, records management and business systems, or the ability to obtain.

6. Well-developed interpersonal, oral, and written communication skills, with a demonstrated ability to communicate

professionally and effectively at all levels and with people from diverse backgrounds.

Desirable

1. Holding or working towards a Certificate in medical terminology.

2. Relevant experience within the operating theatre/ sterile stock management within a restricted access environment
