Travel Security & Insurance Specialist

The Opportunity
The Travel Security & Insurance Specialist is responsible for the operational coordination, oversight, and continuous management of insurance activities and travel security across the Asia Pacific.
The role provides operational ownership of insurance coordination, International SOS (ISOS) relationship management, and travel security processes to ensure travel-related matters are managed consistently, efficiently, and in line with organisational requirements.
Working closely with program teams, the Global Security Office (GSO), brokers, insurers, and external providers, the role is responsible for maintaining visibility of active matters, supporting timely issue resolution, coordinating travel risk and insurance requirements, and escalating emerging risks or gaps where required.
The role requires sound judgement, the ability to independently manage operational matters, and a proactive approach to resolving insurance and travel-related issues within a governance and risk-focused environment.
Core Responsibilities
Insurance Operations & Coordination
- Provide accurate, practical, and consistent guidance regarding travel and health insurance coverage and related requirements across programs and business units, including interpretation of policy intent and coordination of complex insurance matters with brokers and stakeholders.
- Manage insurance enquiries and requests through to resolution, ensuring proactive follow-up, stakeholder communication, and escalation of unresolved or higher risk matters where required.
- Work with programs and departments to identify insurance requirements and coordinate appropriate coverage arrangements.
- Liaise directly with brokers and insurers regarding endorsements, coverage updates, policy changes, and operational insurance issues.
- Develop and maintain effective working relationships with brokers and external providers and remain informed of relevant market updates or operational developments.
- Coordinate the annual insurance renewal process, including gathering required information, maintaining timelines, preparing documentation and tracking deliverables.
- Review and analyse renewal proposals, coverage arrangements, and operational issues to identify risks, gaps, or matters requiring escalation or management decision.
- Work with Risk Management and relevant stakeholders to support assessment of insurance coverage requirements and operational exposures across programs.
- Maintain accurate and current insurance records, including policies, renewals, claims and active matters.
- Prepare regular reports on insurance activity, trends, claims, renewals, and operational issues for management review.
- Analyse insurance and operational data to identify trends, gaps, or improvement opportunities within tracking, reporting and coordination processes.
International SOS (ISOS) Relationship Management
- Act as the primary point of contact for ISOS across Abt Australia.
- Coordinate and manage ISOS membership administration, reporting, renewals, and operational service activities.
- Manage ISOS alerts, enquiries, and operational issues, including assessing operational relevance, determining required communications and follow-up actions, and coordinating escalation where required.
- Coordinate the resolution of service issues or complaints with ISOS and maintain ongoing follow-up with stakeholders regarding outcomes.
- Support travellers and teams in accessing and using the ISOS Assistance App and related services.
- Manage and maintain the ISOS Travel Tracker to ensure accurate traveller visibility, data integrity, and reporting capability.
- Maintain accurate authorised approver lists, reporting distribution settings, and access management arrangements.
- Monitor ISOS utilisation, service performance, traveller data integrity, and reporting trends, and identify issues, gaps, or operational risks requiring follow-up or escalation .
Travel Risk & Security Coordination
- Coordinate with the GSO, Program Safety and Security Managers, and Program focal points regarding travel safety and security matters.
- Ensure travel ‑ related incidents, security matters, and escalations are reported and managed through appropriate GSO processes and organisational channels.
- Monitor relevant travel advisories and security updates, including Smartraveller, and coordinate communication and follow-up actions with Program teams where required.
- Maintain visibility of travel activity in higher-risk locations and coordinate follow up on any outstanding travel risk requirements or actions.
- Coordinate responses to travel-related incidents and near-misses, including stakeholder engagement, reporting, communication, action tracking, and escalation through appropriate organisational channels.
- Respond to travel safety and security queries and coordinate inputs or escalations through the GSO where required.
- Identify emerging operational or travel-related risks and escalate issues appropriately for assessment and decision-making.
What We Value
- Demonstrated experience in insurance operations, travel risk, travel security coordination, operational governance, or related operational roles within a complex organisational environment.
- Strong understanding of travel-related insurance principles and operational requirements, including business travel, expatriate coverage, and local medical insurance arrangements.
- Proven experience managing external service providers, brokers, or operational vendors, including stakeholder engagement, issue resolution, and service coordination.
- Strong analytical, organisational, and communication skills, including the ability to manage competing priorities, maintain accurate records, and prepare clear reporting and recommendations.
- Demonstrated ability to exercise sound judgement, interpret operational or insurance-related issues, identify risks or gaps, and escalate matters appropriately within a governance and risk management environment.
- High level of attention to detail, accountability, and commitment to continuous improvement.
- Demonstrated commitment to diversity, integrity, collaboration and respectful engagement within a cross-cultural work environment.
- Experience working with International SOS (ISOS) preferred.
- Experience within international, consulting, government, or development sector environments preferred.
- High school diploma + 9 years of relevant experience, or Bachelor's degree + 5 years of experience
