Based out of our office in South Perth, this role represents a great opportunity for a Procurement & Fleet Officer to further develop their career in a fast paced and agile procurement environment. As a key part of RAAFA’s Procurement Team, you’ll be joining a group that is proactive, enthusiastic and willing to step up to the challenge of being a part of an innovative organisation.

As the Procurement & Fleet Officer you will be responsible for provides day-to-day support across procurement and fleet operations to ensure the efficient, compliant, and cost-effective acquisition of goods and services and the effective coordination of RAAFA’s vehicle fleet.

Thie Role Will See You

  • Oversee and process purchase orders from employees and maintain procurement records.
  • Support sourcing activities and supplier engagement.
  • Preparing plans for the purchase of equipment, goods/services, and suppliers.
  • Reviewing, comparing, analysing, and approving products and services to be purchased.
  • Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
  • Develop, manage, and maintain procurement documents, reports, records, and data including but not limited to:
  • Purchase Orders
  • Contracts
  • Requisitions
  • Ensure compliance with procurement policies and systems.
  • Maintain supplier and contract documentation.
  • Coordinate vehicle allocation, onboarding and returns.
  • Maintain fleet compliance including registration, insurance and servicing.
  • Coordinate maintenance, repairs and suppliers.
  • Monitor fleet usage and support reporting.
  • Act as a key point of contact for employees regarding vehicle queries, issues and support needs.
  • Support initiatives to reduce environmental impact such as transitioning to low-emission vehicles.
  • Assist in long-term fleet planning aligned with organisational strategy.

Knowledge, Skills & Experience

  • Proficiency in using procurement software and tools (preferably COUPA).
  • Strong organisational and communication skills, with the ability to manage multiple procurement projects at one time.
  • Ability to build and maintain strong relationships with vendors and internal departments through excellent communication and interpersonal skills.
  • High level of attention to detail.
  • Ability to problem solve and demonstrate successful negotiation skills.
  • Knowledge of procurement governance and risk.
  • Knowledge of the full end-to-end procurement process.
  • Skilled in Microsoft Office – SharePoint, Excel, Word, Visio, PowerPoint etc.
  • Ability to think outside of the box and provide the organisation with the best possible outcome.
