The Workplace and Facilities Coordinator plays a critical role in ensuring that every Tesla location across Australia and New Zealand operates smoothly, safely, and in alignment with our brand standards. This is a hands-on, multi-site coordination role for someone who thrives on organization, problem-solving, and delivering seamless operational support in a fast-paced, mission-driven environment.
What You'll Do
- Supporting Retail, Service, Delivery, Energy, and Distribution locations across Australia & New Zealand
- Serve as the first point of contact for day-to-day facility operations and managing routine and urgent requests via internal work order management tools (e.g., maintenance, repairs, vendor follow-ups) with speed and accuracy.
- Manage purchase orders (POs), invoices, and accounts payable for facility-related services, supplies, and vendor contracts — ensuring compliance and timely processing.
- Oversee office consumables and stationery orders across the region, maintaining inventory levels and minimising waste.
- Maintain and update central facility records, including asset registers, maintenance logs, safety checklists, and vendor contracts.
- Onboard and support new vendors, processes, and safety protocols — driving continuous improvement.
- Provide regular reporting on key metrics: response times, vendor performance, cost savings, and incident trends.
- Shadow Facilities Manager during site visits to assess conditions, build relationships with local teams, and ensure alignment with Tesla’s operational and sustainability standards.
What You'll Bring
- 1-3 years of experience in workplace coordination, facilities management, or workplace operations — preferably in a multi-site, high-velocity environment (retail, automotive, logistics, or industrial preferred).
- Proven ability to manage work orders, POs, invoices, and vendor relationships with accuracy and efficiency.
- Strong organisational skills with a track record of managing multiple priorities in a fast-paced setting.
- Proficient with Microsoft Excel and PowerPoint, and Adobe Acrobat (for document management and reporting).
- Experience with integrating AI tools to everyday business workflow.
- Self-starter with the ability to work independently, anticipate issues, and take initiative without constant direction.
