Background and Objective
The Property Services Manager’s primary role is to, in conjunction with the project teams, have interface and management of several key redevelopment and refurbishment projects. Working closely with the Property Services Supervisor, this role will also be involved in the co-ordination of the day-to-day operations of a cross section of operational aspects of the property, overseeing the implementation and adherence to established policies and procedures. Exposure to tenancy fitout management, capital expenditure delivery and project management will be looked upon favorably.
Property / Team Overview
485 La Trobe Street and 800 Collins Street comprises two A-Grade commercial assets in Melbourne. The team comprises of a General Manager, Senior Commercial Manager, Finance Manager, Senior Property Services Manager, Tenant Services Manager, Customer Relationship Manager and Concierge.
Required Attributes, Experience and Qualifications :
Exposure to tenancy fitout works, capital expenditure delivery and project management will be viewed favorably.
A demonstrated ability to prioritise work within tight operational and financial deadlines.
A positive approach to meeting client’s needs whilst managing tenant expectations.
The ability to empathise with tenant needs and a demonstration of a good customer service ethic will be expected.
An ability to comfortably communicate with people at all levels and manage stakeholders through project and repositioning works.
Proficient in MS Word, Excel and Outlook.
ACCOUNTABILITIES
Compliance & Certification
Reporting to the Engineering Services Manager, the Property Services Manager will co-ordinate the roles of the parties required to achieve the following:
Ensure compliance with all relevant statutory authorities and good engineering practices in relation to maintenance of the property structure, façade, fittings, finishes and services.
Ensure certification is obtained from relevant contractors and consultants for all essential services and the timely preparation of the annual Fire Safety Statement or other relevant documentation as stipulated by the local authority.
Ensure compliance with Environmental and Workplace Health and Safety requirements including contractor induction, the preparation of site specific risk management plans and safe work method statements.
Conducting a periodic review of all work practices to ensure that workplace environment conditions comply with Workplace Health and Safety legislation.
Conducting a periodic review of all related work practices to ensure that workplace environmental conditions comply with relevant State Occupational Health and Safety legislation.
Maintenance & Risk Management
Co-ordinate the effective and efficient management of all property services and other works required to be carried out within the properties.
Work effectively with all stakeholders involved in the repositioning works, including tenancy fitout and make good works, to ensure timely delivery within financial parameters.
Periodically inspect the building and plant to determine the extent, priority and safety aspects of any repair works required.
Co-ordinate specialist contractors to ensure they comply with their contract terms and conditions and nominated scope of works.
Be actively involved in the development and maintenance of a property due diligence programs including reporting any works required to the relevant team members.
On-going maintenance of the JLL computerised Planned Preventative Maintenance System and other information databases.
Implementation and maintenance of fire and essential services, public liability and other safety and environmental initiatives.
Procurement of materials, spare and replacement parts and other such building requirements to ensure minimum disruption to tenants.
Identification and implementation of energy, water and waste conservation initiatives.
Active involvement in all property and JLL Sustainability program initiatives.
Be actively involved in the preparation of tender and contract documentation, including obtaining tender pricing for all works and services on the property as required by the Commercial Property Services Agreement and in accordance with established requirements.
Co-ordinate contractors involved in the tenant refurbishment process ensuring all necessary local authority, health and safety approvals and certificates have been provided, full commissioning and handover information is performed, and all JLL and Worksafe / WorkCover procedures are adhered to.
Budgets & Reporting
Embrace, promote and enact the property and corporate WHS program, in particular embracing the OPS AIDE Program and Lend Lease Global Minimum Requirements (GMR) platform.
Be involved in preparing annual property operations and capital works budgets and the monitoring and updating of budgets on a quarterly basis.
Provide input into the monthly reports for the operational aspects of the property.
Ensure that all information, forms, and statistics are gathered, and the information disseminated for review and any remedial action is then performed.
Be involved in the preparation of all auditing and management review obligations.
