Job Summary
HUB24 is regularly hiring Investment Administration Officers to join our high-performing team in Sydney CBD. If you're looking to grow your career in financial services and thrive in a collaborative, client-focused environment, we’d love to hear from you.
The Investment Administration division has multiple cross-functional teams each responsible for specific administrative duties including cash reconciliations & settlements, asset reconciliations, pricing validation, & compliance monitoring, rebates processing, asset migration/transitions & Tax Tranching.
These roles play an important part in ensuring funds are allocated correctly, regulatory obligations are met, and high‑quality service is delivered to internal and external stakeholders across the business. Your analytical skills and ability to collaborate with internal and external stakeholders will be essential in maintaining data integrity and operational efficiency.
Responsibilities
- Perform daily and monthly cash and investment reconciliations, resolving discrepancies and supporting accurate financial reporting.
- Assess investment asset availability and coordinate migration activities, including in‑specie testing and pre/post‑migration reconciliations.
- Process settlements, corporate actions, dividend accruals, FX conversions, and managed fund tax components, ensuring accuracy and compliance.
- Manage SuperStream contributions, rollovers, message responses, and unclaimed money processing in line with regulatory requirements.
- Execute daily bulk transaction processing, including direct debits, withdrawals, and custody cash settlements.
- Review and validate investment pricing, liaising with custodians to resolve discrepancies.
- Monitor, investigate, and resolve failed or delayed trade settlements, coordinating with internal and external stakeholders.
- Reconcile and manage IRS withholding obligations on US dividends, ensuring timely remittance and regulatory compliance.
- Support process development, testing, and implementation, contributing to future‑state operational improvements.
- Collect, analyse, and interpret data in Excel to support complex project work and enhance reconciliation and operational processes.
Requirements
- 3–5 years’ experience in financial services, ideally within cash, investment operations, wrap platforms, or financial planning.
- Strong data analysis capability with advanced Microsoft Excel skills, including reconciliation and complex data handling.
- Knowledge of Australian securities, managed funds, settlement processes, and banking/payment systems, with an understanding of settlement risk.
- Familiarity with asset migration activities, including in‑specie transfers, cash settlements, and related operational processes.
- Understanding of Australian tax concepts, including CGT parcel allocations and managed fund taxation (highly desirable).
- Excellent written and verbal communication skills, with the ability to engage external stakeholders and build trusted relationships.
- Strong organisational skills, including workflow management, meeting minute documentation, and consistent deadline delivery.
- High attention to detail with effective problem‑solving skills, maintaining a calm and considered approach under pressure.
- Proactive, adaptable, and improvement‑focused mindset, committed to high standards of client service and commercial outcomes.
- Tertiary qualifications in Finance, Accounting, or a related field, or equivalent industry experience.
