About the Business Unit

The Business Support Officer (Operations) is responsible for the provision of administrative services to the operations management team. This involves personal organisational tasks as well as participation in operational activity in an administrative function. The position reports to the Senior Operations Manager and will also provide services as directed to four Operations Managers across the location.

About the Role

The North West Metropolitan Area accounts for approximately 1300 staff across 13 sites. These sites are located in either the North or West of the Area and deliver a range of services including custodial services at prisons, Community Correctional Services, Sheriff's Operations, Consumer Affairs, front of house enquiries (including Births, Deaths and Marriages applications) and management of community services (including Victims' Support across the area). In addition, there are two Executive Officer roles of the Regional Aboriginal Justice Advisory Council, West and North. Located across the North West Metropolitan Area are nine non-custodial locations in Carlton, Broadmeadows, Reservoir, Heidelberg, Greensborough, Melton, Sunshine, Werribee and the Neighbourhood Justice Centre in Collingwood. There are four custodial locations: maximum security prisons Metropolitan Remand Centre, Dame Phyllis Frost Centre and Melbourne Assessment Prison and the minimum-security Judy Lazarus Transition Centre.

Some of your duties will include:

  • Assist in the delivery of financial and risk management services by meeting agreed corporate and program objectives, service delivery standards and timelines, including accounts payable, purchase orders & reconciliations.
  • Under the guidance of the Manager, Finance and Risk, assist in the provision of accurate and evidence-based advice to support the development of budgets, planning, risk and emergency management, change and project management activities.
  • Under direction, collect statistical inform.ation, analyse, prepare reports, obtain quotes and prepare estimates for works and services

About You

As our ideal candidate, you will possess:

  • Demonstrated experience of government purchasing processes and procedures, and the use of purchase to payment system Oracle, or similar.
  • Ability to learn relevant legislation, policies, procedures, guidelines and regulations.
  • Demonstrated experience in Microsoft 365 applications, in particular Excel, Outlook (and group mailboxes), SharePoint and Teams. Experience with the electronic document management system TRIM would also be a benefit.
