Executive Assistant to the Secretary

We are looking for an experienced, highly organised and values driven Executive
Assistant to support the Secretary and divisional leadership team of the Union.
This is not a standard administration role.
This position sits at the centre of a fast paced industrial and campaigning environment
and plays a critical role in supporting the effective functioning of the Union’s leadership,
governance, communications and operations.
The successful applicant will provide high level executive and administrative support
across a broad range of responsibilities including diary management, meeting
coordination, governance support, correspondence, travel, event coordination and
leadership workflow management.
The role requires someone who can manage competing priorities, maintain discretion
and confidentiality, communicate effectively with a wide range of stakeholders, and
remain calm and organised in a dynamic environment.
The position works closely with the Secretary, Assistant Secretary, divisional leaders,
organisers and staff to ensure priorities are coordinated, commitments are progressed
and information flows effectively across the organisation.
Key Responsibilities Include
- Executive support to the Secretary and divisional leaders
- Complex diary and meeting coordination
- Preparation of agendas, papers, minutes and correspondence
- Coordination of travel, conferences, events and logistics
- Monitoring actions and supporting leadership workflow
- Liaising with members, delegates, staff, government and external stakeholders
- Supporting governance, reporting and operational coordination
- Maintaining confidential records and information
The Successful Applicant Will Demonstrate
- Experience in an executive assistant, personal assistant or senior administrative role
- Exceptional organisational and time management skills
- Strong written and verbal communication skills
- High level discretion, judgement and attention to detail
- The ability to manage competing priorities and rapidly changing demands
- Strong Microsoft Office 365 skills including Outlook, Word, Excel and Teams
- The ability to work both autonomously and collaboratively
- A commitment to trade union values and the work of the union movement
Experience working in a union, political, government, not for profit or member-based
organisation will be highly regarded.
This role would suit someone who thrives in purposeful work, enjoys coordinating

a real difference for working people.
