Executive Assistant to the CEO/Founder

The role
We're hiring an Executive Assistant to work directly with our Founder & CEO, Zac Altman. This is a high-trust, hands-on role. Your job is to extend Zac's focus and reliability: protecting his time, closing loops that would otherwise drop, and making sure meetings, commitments, and logistics run cleanly. Alongside this, you'll own the day-to-day running of our Surry Hills office and make it a calm, well-run place to work.
You'll work alongside our Head of Ops with Founder/CEO support as your clear priority.
This role suits someone highly organised, genuinely proactive, detail-oriented, and discreet - someone who gets energy from making things run well behind the scenes. The best person for this role anticipates what's needed next rather than waiting to be asked.
What you'll do
CEO Support (primary Focus)
- Own Zac's calendar: scheduling, rescheduling, protecting focus time, and enforcing a deliberate weekly rhythm.
- Triage and organise his inbox; draft replies and follow-ups where helpful.
- Keep commitments, follow-ups, and open loops moving so nothing drops.
- Coordinate internal and external meetings: invites, logistics, prep materials, timing.
- Help prepare for investor and leadership meetings: materials, agendas, read-aheads.
- Support light personal admin where it overlaps with the work day.
Office management
- Own the day-to-day running of our Surry Hills office
- Manage snacks, drinks, cleaners, deliveries, access, office supplies, and vendors.
- Keep meeting rooms, shared spaces, and the guest experience sharp.
- Organise team lunches, all-hands, events, and in-office logistics.
- Support onboarding logistics so new starters have what they need on day one.
Team coordination
- Light support with hiring scheduling and internal coordination
- Ad hoc admin support tied to the CEO or office
- Work in close partnership with Ops without doubling up on their remit

- Zac's time is noticeably better protected and better used.
- Nothing drops: commitments, follow-ups, and recurring rituals all land.
- Meetings are prepared, timely, and produce clear next steps.
- The office feels calm, organised, and well run
- There is visibly less day-to-day friction across the company
Your Experience
- 3+ years supporting a founder, CEO, or senior executive (ideally in a startup or small high-growth environment)
- Strong calendar, scheduling, and logistics instincts
- Excellent written communication and professional judgement
- A real system for tracking open loops... not relying on memory
- High discretion and trustworthiness
- Comfortable with shifting priorities and the occasional left turn
- Confident using common workplace tools (e.g. Microsoft 365, Notion / Coda.io, Slack, or similar)
- Happy to work in the office 4-5 days a week
