As part of our continued expansion, we are seeking an experienced and highly organised Senior Production & Operations Manager to join our Sydney team.

This is a key leadership role responsible for overseeing production operations, logistics, scheduling, warehouse coordination, installations, and project delivery across a wide range of experiential and event-based projects.

The successful candidate will work closely with senior management, project teams, contractors, suppliers, and installation crews to ensure projects are delivered safely, efficiently, on time, and to the high standard VI is known for.

About the Role

This role combines operational leadership, production coordination, logistics management, and hands-on project delivery.

You will oversee the planning and execution of installations, production schedules, labour coordination, warehouse operations, transport logistics, and onsite delivery while helping improve systems and operational workflows as the business continues to scale.

The role is ideal for someone who thrives in fast-paced environments, enjoys problem solving, and can confidently manage people, logistics, suppliers, and installations from concept through to execution.

This position reports directly to the Managing Director and works closely with the General Manager, Creative Team, Project Managers, warehouse staff, and freelance contractors.

Key Responsibilities

Production & Operations

· Coordinate production scheduling, logistics, and operational delivery across multiple projects

· Plan and oversee installations, dismantles, freight, transport, and warehouse preparation

· Book trucks, freight services, access equipment, machinery, and specialist suppliers

· Coordinate casual labour, subcontractors, installers, and freelance crew

· Oversee onboarding and inductions for crew and contractors

· Ensure projects are packed, prepared, and dispatched accurately and efficiently

· Manage warehouse coordination and operational workflows

· Maintain and improve operational systems including scheduling and workflow platforms

· Assist with production planning and supplier coordination for experiential, event, and decorative installations

Project & Site Management

· Manage onsite installations and operational delivery across assigned projects

· Liaise with clients, venues, contractors, suppliers, and site managers

· Monitor project timelines, labour allocations, and operational budgets

· Resolve onsite operational and logistical issues quickly and effectively

· Ensure installations are delivered safely, efficiently, and to client expectations

· Support project managers and senior leadership with project execution and delivery

Compliance & Administration

· Ensure WHS compliance across warehouse and onsite activities

· Prepare and manage SWMS, permits, inductions, and site compliance documentation

· Assist with scheduling meetings, logistics planning, and operational administration

· Maintain clear communication across project, production, and warehouse teams

· Support continuous improvement of operational systems and processes

About You

The ideal candidate will have experience in experiential production, events, exhibitions, construction coordination, logistics, or related operational environments.

You are highly organised, solutions-focused, calm under pressure, and confident managing multiple moving parts simultaneously.

Essential Skills & Experience

· Minimum 5+ years’ experience in production, operations, logistics, events, exhibitions, construction coordination, or similar fast-paced environments

· Proven experience coordinating crews, logistics, schedules, installations, and operational delivery

· Strong leadership, organisational, and communication skills

· Ability to manage multiple projects and competing deadlines simultaneously

· Strong problem-solving and decision-making ability

· Hands-on, proactive, and solutions-focused attitude

· Confident liaising with clients, contractors, suppliers, venues, and installation crews

· Experience booking transport, machinery, subcontractors, and logistics services

· Strong understanding of workplace health and safety requirements

· Experience using project management and scheduling platforms

Advantageous

· Forklift licence

· EWP licence

· Truck licence

· Experience within experiential, events, retail environments, exhibitions, or large-scale installations

Additional Requirements

· Must hold Australian Permanent Residency or unrestricted working rights in Australia

· Must be willing and able to travel interstate and occasionally overseas as required for projects

· Ability to work flexible hours when required around installations and project delivery schedules

Salary Guide

$95,000 +++++ Superannuation

Salary package will be negotiated based on experience and capability.
