Senior Bookkeeper (Aged Care & NDIS Specialist) – Contract

CareLinc is a premier, fast-growing provider of NDIS and Aged Care support services alongside high-end mobility equipment provision. With our flagship retail showroom launching in Liverpool Plaza this June, we operate to executive-level standards of service, strict compliance, and clinical excellence.

We are seeking a highly commercial, meticulous, and experienced Senior Bookkeeper on a contract basis to oversee our complex industry-specific financial operations from our Liverpool office.

The Role

This is a specialized contract role designed for a professional who possesses a deep, operational understanding of NDIS and Aged Care budgeting, pricing plans, and compliance. You will be responsible for ensuring that participant budgets, home care packages (HCP), and provider service billings are flawlessly managed, fully optimized, and audit-ready.

Key Responsibilities

  • NDIS Budgeting & Plan Tracking: Analyze, monitor, and manage complex participant NDIS plans; ensure funding lines are correctly utilized and tracked against service agreements.
  • Aged Care Financial Management: Oversee and coordinate budgets for Aged Care Home Care Packages (HCP), ensuring the timely issuance of accurate monthly statements to clients.
  • PRODA Portal & Claims Management: Manage end-to-end NDIS claims, efficiently resolve payment rejections, manage plan variations, and track older or backdated invoices.
  • Invoicing & Service Reconciliation: Ensure high-accuracy invoicing for multidisciplinary services (including clinical care, therapy, maintenance, and equipment provision) in strict accordance with the current NDIS Pricing Guide.
  • Payroll & SCHADS Award Compliance: Process payroll for our growing staff, ensuring precise adherence to SCHADS Award classifications, qualification-based pay scales (Certificate III/IV rates), and leave tracking.
  • Financial Reporting & Accountability: Maintain clean files in Xero and prepare clear weekly cash flow reports, P&L statements, and budget variance sheets directly for executive leadership.
  • Stakeholder Liaison: Efficiently resolve any funding, service quote, or billing discrepancies with participants, plan managers, support coordinators, and external agencies.

Requirements & Qualifications

  • Industry Expertise: Minimum 5+ years of senior bookkeeping experience, with at least 2–3 years of dedicated experience within the NDIS and/or Aged Care sectors (essential).
  • Software Proficiency: Advanced, expert-level knowledge of Xero and specialized NDIS/Aged Care participant management billing platforms (e.g., ShiftCare, Supportability).
  • Technical Knowledge: Deep working knowledge of the NDIS Support Catalogue, NDIA rules, and the SCHADS Award payroll structure.
  • Precision & Drive: Flawless attention to detail with the ability to spot billing discrepancies instantly and tidy up accounts efficiently during a period of business expansion.
  • Location: Ability to work from our modern office space in Liverpool, NSW.
  • Qualifications: Certificate IV in Bookkeeping/Accounting or higher. Registered BAS Agent status is highly regarded.
