Your new team

To serve as a strategic administrative and process partner to the Associate Director of Development & Delivery. This dynamic role ensures the seamless operation of the Software Development & Project Delivery teams by providing high-level administrative support, optimizing executive workflows, and fostering a culture of efficiency, innovation, and engagement across the leadership team. You'll be part of a team that values proactivity, adaptability, and a hands-on approach to leveraging our technology and systems to explore improved ways of working that increase productivity.

The role

  • Proactively manage the AD’s schedule, prioritizing high-impact meetings and protecting "deep work" time, understanding the urgency and importance of communications.
  • Drive efficiency by leveraging AI tools, automation, and our core systems (Google Workspace, Google Looker Dashboards, Confluence) to streamline administrative tasks, document drafting, reporting, and information flow. You'll be encouraged to "play" with these technologies to find innovative solutions.
  • End-to-end management of Departmental Purchase Orders, vendor invoicing, and reconciliation. Ensure accuracy and timely submission to Accounts Payable. Support the AD with data-backed recommendations for departmental and budgetary approvals.
  • Track and monitor the AD’s budget, including Reward & Recognition expenditure and gift registers.
  • Act as a gatekeeper and agile point of contact, translating and routing communications within a fast-paced Technology environment, ensuring priorities are understood and actioned.
  • Support the planning and execution of team-based events and engagement programs to boost department morale and foster a fun, collaborative atmosphere.
  • Coordinate internal and external meetings, including agenda preparation, high-quality minute-taking, and tracking actionable outcomes with a focus on urgency.
  • Support the leadership team in meeting mandatory reporting deadlines and maintaining software license registers.
  • Assist in adhering to APRA prudential standards by monitoring compliance metrics and flagging critical correspondence for the AD.
  • Contribute to the identification of operational and financial risks, supporting the maintenance of robust internal controls.
  • Support the department’s response to internal and external audits/examinations.

What Experience You’ll Bring

  • Early in your career, with 1-3 years of experience as a Personal or Executive Assistant, or in a similar supportive administrative or project coordinator role within a fast-paced environment. We're looking for adaptability and a fresh perspective rather than deeply ingrained operational habits.
  • Advanced proficiency in Google Workspace (Docs, Sheets, Slides) and a genuine enthusiasm for leveraging data tools like Google Looker Dashboards and collaboration platforms like Slack or MS Teams and Confluence.
  • Comfortable using AI tools (e.g., Gemini, ChatGPT, automation scripts) to enhance productivity and output quality, with a desire to explore new technological solutions.
  • Exceptional written and verbal skills with an uncompromising eye for detail.
  • Practical experience with financial processes, including invoicing and budget tracking.
  • High emotional intelligence (EQ) and the ability to build relationships at all levels, matched with a fun-loving, jovial personality and good banter.
  • A proactive, "solution-first" mindset when resolving administrative or process bottlenecks and a willingness to tackle low-to-moderate complexity administrative processes.
  • At least some understanding of technology terminology, perhaps from prior experience in a tech company, a semi-technical role, or even personal coding interests
