Your Position at St John of God Berwick Hospital
We are currently seeking a Theatre Bookings Clerk to join our Perioperative Theatre Department .
In this role, you will work closely with caregivers to coordinate patient procedures and admissions, acting as a key contact for clinicians, practice managers, and medical representatives to ensure timely and accurate communication.
The department supports a wide range of specialties including orthopaedics, urology, gynaecology, obstetrics, ophthalmology, ENT, neurology, plastics, general, bariatric and gastroenterology, with a focus on inpatient and day-case procedures.
This is a permanent role, offering a part-time role (up to 64 hours per fortnight), with shifts rostered Monday to Friday between 6:30am and 6:00pm and occasional Saturdays, within a dynamic and supportive theatre team committed to high-quality patient care.
The Position
- Conduct general theatre reception, including answering reception phones, managing ingoing and outgoing faxes, and meeting and greeting stakeholders in a courteous manner.
- Primarily responsible for the coordination of main theatre bookings.
- Liaison with Doctor’s receptionists, and other booking clerks to ensure an efficient and timely booking service is provided, including visiting practice managers.
- Entering bookings into the theatre booking system and communicating with surgeon’s rooms to ensure accurate and timely information is provided.
- Obtain schedule of Anaesthetists for theatre lists from Anaesthetic Groups including on-call roster.
- Obtain order of theatre cases from Surgeons Rooms as required.
- Receive and refer to the Shift Co-ordinator any additional cases received
- before confirming bookings; Notify clinical areas of additional bookings.
- Maintain the theatre list and ensure list is finalised by 4:30pm each day.
- Prepare a daily surgeon’s list for the next day set-ups
You will have experience in hospital patient administration systems, along with excellent verbal and written communication skills and a strong focus on customer service. You will demonstrate effective time management, with the ability to prioritise and manage workloads efficiently, while contributing positively as an active team member to a productive team environment.
To succeed, you will have advanced skills and knowledge across a range of computer applications, particularly the Microsoft Office Suite. You will demonstrate the ability to make appropriate decisions in your work, applying sound knowledge and technical expertise to deliver accurate and efficient outcomes.

The Benefits
- Salary: $61403 to $63133 per annum (pro rata for part time) plus 12% superannuation
- Permanent part-time role (up to 64 hours per fortnight).
