Are you an organised and detail-oriented administrator who enjoys working in a fast-paced environment where customer service and operational excellence matter?

We are seeking a Vet Operations Administrator to join a growing Veterinary channel team on a part-time basis (3 days per week).

This role plays a key part in supporting veterinary clinic partners through accurate rebate processing, data management, customer support, and coordination of communications and product launch activities. You will help deliver a seamless and positive experience for vet clinics while supporting ongoing business growth and operational improvements.

About The Role

As the Vet Operations Administrator, you will provide operational and administrative support across the Veterinary channel, ensuring processes are completed accurately, efficiently, and within required timeframes.

You will work collaboratively with internal stakeholders and veterinary clinic partners while contributing to continuous improvement initiatives and supporting key business activities.

Key Responsibilities

Vet Clinic Rebate Processing

  • Process veterinary clinic rebate claims accurately and efficiently
  • Validate supporting documentation and resolve claim queries
  • Maintain organised and auditable records
  • Liaise with internal finance teams as required

Vet Clinic Data Management

  • Maintain accurate and up-to-date clinic records within internal systems
  • Support data integrity for reporting and communications
  • Assist with database maintenance and data cleansing activities

Vet Clinic Customer Support

  • Respond to veterinary clinic queries professionally and promptly
  • Provide support relating to rebates, products, and processes
  • Escalate complex issues to relevant internal stakeholders
  • Deliver a high standard of customer service

Business Communications

  • Assist with preparation and distribution of communications to clinics
  • Support operational updates and product information rollouts
  • Ensure communications align with brand standards and business requirements

Product Launch & POS Coordination

  • Create and distribute New Line Forms for product launches
  • Coordinate Point of Sale (POS) material distribution
  • Support clinics with the tools required for successful launches

General Operational Support

  • Provide broader administrative and operational support to the Veterinary channel
  • Contribute to process improvements and efficiencies

About You

To be successful in this role, you will ideally bring:

  • Previous experience in administration, operations, or customer support
  • Strong attention to detail and data accuracy skills
  • Stake holder management/commerical
  • Experience processing claims, invoices, or financial documentation preferred
  • Excellent communication and stakeholder engagement skills
  • Strong organisational and time management abilities
  • Intermediate Microsoft Office skills, particularly Excel, Outlook, and Word
  • Experience using CRM or database systems advantageous
  • Exposure to veterinary, healthcare, or professional service environments preferred but not essential.
