You will work closely with internal stakeholders and service partners to build a strong sense of community and deliver a consistently high-quality workplace experience. This role focuses on facilities coordination, work order management, financial administration, health and safety compliance, and continuous improvement of workplace processes.

An overview of the role

  • Provide premium customer service to staff, clients, and visitors, managing and escalating enquiries as required and supporting the end-to-end resolution of office and facilities-related issues in a timely and professional manner.
  • Act as a subject matter expert for your office, with a deep understanding of how the workplace operates and how services are delivered day to day.
  • Proactively manage facilities services by raising, tracking, and closing work orders for reactive maintenance, ensuring works are completed within agreed timeframes and to JLL standards.
  • Proactively inspect the workplace to identify issues across all office elements, ensuring concerns raised by staff are addressed promptly and the environment is maintained to a high standard.
  • Support vendor and contractor management by coordinating onsite activities, monitoring service performance, and building effective working relationships (with limited involvement in procurement).
  • Process invoices and complete required financial reporting activities before financial cut-off dates, track work orders, and support budget management in collaboration with the Workplace Manager.
  • Conduct regular health and safety inspections, identify and escalate potential risks, participate as a first aider and/or emergency warden, and ensure compliance with visitor sign-in and incident reporting procedures.
  • Act as a central point of coordination for workplace-related projects, including the planning and delivery of a major office relocation, tracking actions, managing dependencies, and escalating risks or issues as required.
  • Identify opportunities to improve processes, streamline service delivery, and resolve invoice or coding discrepancies in collaboration with internal stakeholders.
  • Work closely with the Community Ambassador and the wider JLL Corporate Real Estate team to deliver an exceptional workplace experience, supporting team initiatives and contributing to a collaborative, high-performing workplace function.

Sounds like you? This is what we are looking for:

  • Extensive experience in property/facilities management, hospitality, hotel management, or luxury corporate concierge
  • Strong administrative skills with proven ability to manage financial processes including invoice processing, budget tracking, and variance analysis
  • Excellent problem-solving skills with the capacity to deal with ambiguity and solve complex challenges using a quantitative, holistic approach
  • Outstanding verbal and written communication skills with the ability to present a professional and friendly corporate image
  • Demonstrated ability to work effectively in a fast-paced environment while managing multiple competing priorities and remaining calm under pressure
  • Self-motivated, confident, and goal-oriented with flexibility to adapt to rapidly changing situations
  • Knowledge of occupational safety requirements and experience conducting workplace safety audits (preferred)
  • Experience with continuous improvement initiatives and vendor management optimization (preferred)
