MSA is looking for an experienced Project Support Officer to work closely with the Director / Senior Management Team and support our internal teams and diverse client base. This is an engine-room role: you’ll keep projects and priorities moving, make meetings

Project Support

KEY RESPONSIBILITIES (INCLUDE BUT NOT LIMITED TO)

  • Partner with leadership to keep priorities and deliverables on track — fast, accurate, no drop balls.
  • Run tight meeting logistics: agendas, minutes, action items and follow-ups (and chase close-out).
  • Maintain key registers, trackers and schedules so the team always knows what’s next, who owns it, and when it’s due.
  • Pull together updates and reporting for leadership — clear, crisp, and on time.
  • Assist with data collation, analysis and reporting to support informed decision making.

Business Support / Administration

  • Provide effective business and administrative support to maintain smooth operational workflows.
  • Support diary management, meeting coordination, presentations, correspondence and maintaining key registers.
  • Support procurement activities including raising Purchase Orders and processing invoices.
  • Track and follow up on business activities, ensuring data and information is collated within agreed timeframes.
  • Maintain accurate records, systems and processes to ensure strong governance compliance.

Operations + Team Support

  • Coordinate internal relationships and communication, and liaise with external customers to meet service levels and timelines.
  • Book travel and manage system/equipment provisioning requests.
  • Create polished comms, presentations, confidential documents, spreadsheets and reports.
  • Manage incoming calls/emails and provide excellent customer and client service.
  • Support teams with customer interactions as required.
  • Coordinate office logistics (mail, deliveries/couriers, building management/contractors, clients and meetings) and help maintain a safe, clean work environment.
  • Integrate and use AI platforms effectively to enhance productivity within the office.

What We Are Looking For / Mandatory Qualifications

  • Strong organisational skills with the ability to plan, prioritise and manage competing deadlines in a busy environment.
  • Well-developed written and verbal communication skills.
  • Sound analytical and problem-solving capabilities.
  • Professional and discreet — able to handle sensitive information and maintain confidentiality.
  • MSA is a fast paced environment with daily changing priorities – must be dynamic and flexible
  • Experience producing high-quality documentation (reports, correspondence, presentations) to deadlines.
  • Strong Microsoft Office skills (especially Outlook and Teams) and confidence building simple, effective admin systems.
  • Australian resident with full working rights.

Highly Regarded

  • Experience maintaining project registers, reporting cadence, minutes/actions, and documentation governance.
  • Experience supporting procurement / POs / invoices and coordinating vendors.
  • Experience with AI platforms within an operations and business environment
