Duties & responsibilities
- Delivery of proactive maintenance and statutory compliance across their managed portfolio
- Effective management of property consultants and contractors.
- Effective communication with all stakeholders
- Ensure compliance with all relevant statutory authorities and good engineering practices in relation to maintenance of the property structure, façade, fittings, finishes and services across the portfolio.
- Ensure certification is obtained for all essential services and the timely preparation of the annual Fire Safety Statement or other relevant documentation as stipulated by the local authority.
- Ensure JLL systems for compliance with Environmental and Workplace Health and Safety requirements including contractor induction, the preparation of site-specific risk management plans and safe work method statements are met.
- Ensure Contractor meetings are scheduled at a minimum quarterly with contractor performance assessment and Risk Management key focus areas.
- Conduct a periodic review of all work practices to ensure that workplace environment conditions comply with Workplace Health and Safety legislation. Other ad hoc tasks that are reasonably requested for the role of a Facilities Manager.
- Assist with leave cover when other team members are on leave as reasonably requested.
- Attendance at team meetings.
Performance objectives
- Ensure effective and efficient management of all property services and other works required to be carried out within the property.
- Undertake monthly inspections of managed buildings and plant to determine the extent, priority and safety aspects of any repair works required with the inspection clearly documented.
- Ongoing management of all specialist contractors to ensure they comply with their contract terms and conditions and nominated scope of works.
- Implementation and maintenance of the JLL Planned Preventative Maintenance System and other information databases.
- Implementation and maintenance of fire and essential services, public liability and other safety and environmental initiatives.
- Active involvement in all property and JLL Sustainability program initiatives.
- Assist in the preparation of tender and contract documentation, including obtaining tender pricing for all works and services across managed properties as required by the Managing Agency Agreement and in accordance with established requirements.
- Embrace, promote and enact the property and corporate WHS program, in particular embracing our internal best practice audit Program.

- The ability to empathise with client needs and a good customer service ethic is essential.
- An ability to comfortably communicate with people at all levels in writing and verbally.
- Proficient in MS Word, Excel and Outlook.
- An understanding that the role requires ad hoc attendance at properties outside of standard business hours.
- Willingness to attend to client and tenant requirements outside of business hours as reasonably requested.
Employee specification
- Trade or other Tertiary qualifications are desirable but relevant experience will be favourably considered.
