As our Administration Officer, you will play a key role in providing administration functions and support across our teams.
Role Description
Based in Brisbane, in this position the Administration Officer will manage the day-to-day office administration tasks and processes, providing administrative support to the team, ensuring efficient communication across departments, and delivery of exceptional client service.
The ideal candidate will hold strong organisational skills and a proactive approach with workflows, maintaining schedules, assisting with correspondence and document management.
This is a hands-on role suited to someone who enjoys variety, takes ownership, & is comfortable working in a growing, fast-moving professional services environment.
You will lead the administration function, while providing support to our Finance Manager and reporting to our Business Services Manager.
Relevant Experience
- proven experience in General Administration and Administrative Assistance, including managing schedules, data entry, and document handling
- manage and maintain office environment, supplies, stock, branding materials, and equipment, ensuring all resources are readily available for staff (across multiple office locations)
- coordinate team meetings, training, recordings, mail outs, gifts and marketing
- assist with organisation of events and functions within the workplace plus corporate days
- provide administrative support to engineering teams, including scheduling meetings and managing calendars.
- provide administrative support to project teams, including tracking data and pipeline schedules.
- maintain accurate records and databases, ensuring compliance with company policies and procedures.
- assist with general HR functions, onboarding process for new employees, ensuring a smooth transition into the organisation.
- support general financial administration tasks, including invoicing and budget tracking.
- provide administrative functions to our Business Services Manager & Finance Manager
- strong communication skills and the ability to effectively interact with internal teams and external stakeholders
- customer service skills to professionally address inquiries and ensure client satisfaction
- excellent organization skills, with the ability to manage multiple priorities and meet deadlines
- proficiency in office software tools such as Microsoft Office Suite, XERO,
- strong problem-solving skills and attention to detail
- certificate or diploma in business administration or a related field is preferred
- experience working in an engineering or consulting environment is an advantage
About You
- must be based in Brisbane, QLD.
- minimum of 5+ years in Administration, Business or related discipline (preferred)
- experience in fast-paced administration environment
- confident working across multiple systems and applications
- able to work autonomously while supporting a collaborative team
- friendly, approachable personality, with an open mind and ready to work
- strong organisational and time management skills, with the ability to prioritise tasks effectively
- proficient in Microsoft Office Suite, and other relevant software applications (including Workflow Max, Hubspot, Newforma, XERO, Employment Hero - not mandatory)
- Australian citizenship is required for this position (sponsorship is not available)
