Job Description
- Provide high-level executive support to the APAC IFS Leader, managing calendars, expenses, and domestic and international travel (with occasional flexibility across time zones)
- Coordinate and deliver APAC-wide meetings, events, and webinars to ensure seamless execution
- Manage ANZ administrative operations, including vendor payments, contract renewals, purchase requisitions (SAP), and fleet coordination
- Plan and support complex local and international meetings and events in collaboration with regional administrative teams
- Oversee SharePoint sites and Microsoft Teams channels for the APAC IFS Leadership Team and broader organisation.
- Act as the central point of contact for data, reporting, and information requests (e.g. ABS, auditors, internal metrics)
- Respond to employee queries on processes, policies, and programs
- Coordinate team initiatives across ANZ and APAC (e.g. safety programs, well being activities)
- Support HR processes, including recruitment coordination and on boarding
- Serve as a key liaison across functions, ensuring alignment on processes, communications, and key initiatives
The Successful Applicant
A Successful Executive Assistant Should Have
- Experienced EA or senior administrator who thrives in a fast-paced, global environment
- Excellent organisational and time-management skills to handle multiple tasks efficiently.
- Strong written and verbal communication skills with a professional demeanour.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Ability to work autonomously and maintain confidentiality in all tasks.
- A proactive approach to problem-solving and attention to detail.
- Flexibility to adapt to a fast-paced and dynamic work environment.
